How working on a grant-funded project looks.

The key point is that the first two steps happen before the application is submitted and cost you nothing.

  1. A conversation about the project

    A short online meeting. We ask who the solution is for, what problem it should solve, which programme you are applying to and when the deadline falls. That is enough for us to know whether we are the right supplier.

    We prepare a scope of work description, a cost estimate broken down by task and a proposed schedule, in a form you can attach to the application. Free of charge and with no commitment to work with us.

  3. You submit and wait for the decision

    This stage belongs to you and your consultant. Our estimate stays valid for an agreed period so it does not need refreshing while the application is being assessed.

  4. Contract and start of work

    Following a positive decision we sign a contract matching the scope in the application and begin with a workshop. Scope and schedule follow directly from documents you already know — no unpleasant surprises.

    We work in stages matching the tasks in the financial schedule and invoice accordingly, so the settlement paperwork matches real progress. After launch, 12 months of warranty applies.

What people ask us most often.

Is preparing the estimate for the application free?

Yes. The scope description, the cost estimate and the proposed schedule are free and do not commit you to working with us. If the project does not receive funding, or you choose another supplier, we do not invoice anything for it.

How long do you need for an estimate?

Normally up to five working days from the call where we learn the project scope. If your deadline falls sooner, say so in your first message — for tight deadlines we try to prepare the documents faster.

Is your estimate suitable as an attachment to the application?

We prepare it as a scope of work description with a cost estimate broken down by task and a proposed schedule, which is the layout institutions usually expect. The exact formal requirements depend on the specific call, so we adapt the document to the guidelines you send us.

What if the project does not receive funding?

You pay nothing and you are not tied to anything. The document we prepared stays with you and you can use it in the next call or when delivering the project from your own budget. Usually it only needs the figures and dates refreshing.

Do you invoice in line with the financial schedule?

Yes. We split the work into stages matching the tasks in the schedule and issue invoices once each stage is accepted, so the settlement paperwork corresponds to real progress. The scope of each stage is recorded in an acceptance protocol.

Do you help write the application?

No. We supply the technology part and do not prepare applications or provide grant advice. We are, however, glad to work alongside your consultant — we give them the scope description and the cost estimate in the form they need.

Do you decide whether a cost is eligible?

No, that assessment always rests with the institution running the call. Our job is to describe the scope of work and the costs precisely enough for them to be assessed properly, and to supply whatever documents your consultant or the institution asks for.

Do you deliver projects for public institutions?

Yes. Our portfolio includes work for public administration, among others a system for the Mazovian Regional Roads Authority. We know the rhythm of working with documentation, acceptances and audits, which differs from commercial delivery.

How long is your estimate valid?

By default we set a validity date covering the assessment period, so the document does not need refreshing during the call. If the procedure runs long, we update the estimate at no extra cost.
